From manual onboarding to a connected participant journey.

The problem
The foundation ran programmes across many groups of students and tutors. Registrations arrived through different channels, onboarding was done by hand, and reminders, follow ups and reports depended on a few people remembering to do them.
Everything passed through the same small team. Getting one participant registered, placed and ready took far too long, and nobody had a clear view of who was where in the process.
What we changed
Our founder led day to day operations at the foundation, so this transformation was done from the inside, with a clear view of how the work really happened.
- Structured digital registration and onboarding for students
- Tutor and programme coordination across multiple groups
- Automatic reminders and follow up messages
- Organised records and better information management
- Simpler reporting for stakeholders
The result
Participant onboarding time dropped by roughly 80 percent, and coordination across the organisation became visible instead of hidden in chats and notebooks.
The lesson: when you understand the operation from the inside, you can remove the waiting without disrupting the people who make it work.
